Canvas AI Agreement: Frequently Asked Questions
Last updated: November 7, 2026
The Canvas AI Agreement, formally the Artificial Intelligence Addendum to your Master Subscription Agreement (MSA), establishes the terms for using Canvas AI products. This guide explains how the agreement works, what it means for billing and data protection, and what to expect when using AI-powered features.
Signing the agreement
What is the Canvas AI Agreement?
The Canvas AI Agreement establishes the terms for using Canvas AI products, including Studio, the Onboarding Agent, Navigator, Hyperscribe, and the Inference Gateway. Once signed, the agreement covers future Canvas AI products as they become available, without requiring a new agreement for each product.
Does signing the agreement cost anything?
No. Signing the agreement does not create any charges. Your organization is billed only for the AI products it chooses to enable or use, according to each product's pricing.
Why does my organization need to sign?
The existing Canvas Master Subscription Agreement we have on file was drafted before Canvas began offering AI products. These products are not adequately covered under the commercial terms of your MSA. A signed agreement is required to use Canvas AI products, including Studio, the Onboarding Agent, Navigator, and developer-created AI keys. Organizations must sign by November 15, 2026, to maintain full access to Studio and the Onboarding Agent. Without a signed agreement, Studio and the Onboarding Agent are read-only products. Signing restores full access.
How do we sign?
You can request a signature directly from Canvas Platform:
Open Studio or Onboarding in Canvas Platform.
Select Send AI Agreement for Review.
Enter the name and email of your organization's authorized signer.
Your signer will receive a link valid for 7 days.
Not on Canvas Platform yet? Reply to our message or email contracts@canvasmedical.com with your signer's name and email, and we'll send the agreement directly.
Can we get a copy of our signed agreement?
Yes. You can download the signed agreement from the signing page for up to 24 hours after signing. If you need a copy later, contact Canvas Support.
We manage multiple practices. Does each practice need to sign?
No. If your organization manages multiple practices through Canvas Platform, one agreement signed by your organization covers those practices.
Can our legal team request changes to the agreement?
Canvas uses a standard AI Agreement to establish consistent terms across customers and does not accept individual redlines. If your legal team has questions or concerns about specific provisions, please send them to contracts@canvasmedical.com. We're happy to provide written clarification to support your review.
Pricing and billing
How are Canvas AI products billed?
You can monitor usage and billing in Canvas Platform:
Inference β Usage: View AI usage and associated spend.
Usage & Billing: View monthly spending, credits, and rates. This section requires the Billing admin role.
Your Organization admin can assign the Billing admin role from the Users page.
Each AI product has its own pricing, and applicable charges appear monthly on your regular Canvas invoice. Canvas Hosted Agents have specific usage-based fees aligned to their capabilities, and Inference products are billed in Canvas Tokens, which account for the input and output processed on your organization's behalf.
Can AI pricing change?
Yes. AI pricing is dynamic and tracks what the underlying models cost, which is why the AI Addendum points to Platform as the source of truth for pricing. You can review current rates under Usage & Billing β Billing settings in Canvas Platform. Historical rates are retained for each billing period.
Data privacy and security
Is our data used to train AI models?
No. The AI model providers Canvas uses do not use your data, including protected health information (PHI), to train or improve their models, and do not store it (zero data retention). Canvas's own use of your data to improve its AI agents is explained under βWhat can Canvas do with our data under this agreement?β
Which AI providers process our data?
Canvas contracts directly with AI model providers so your organization does not need its own agreement with them. These include model providers such as Anthropic, OpenAI and Fireworks and, for scribe products, speech providers such as ElevenLabs or Nabla, depending on the scribe. Every provider that processes PHI does so under a Business Associate Agreement (BAA) with Canvas, as a subcontractor under our BAA with you.
What can Canvas do with our data under this agreement?
The agreement grants no additional rights to use PHI. Canvas AI products process your data, including PHI, only as your MSA and BAA allow. Canvas may use your data, AI outputs and provider feedback solely to improve the performance and functionality of its AI agents, within your MSA and BAA and consistent with HIPAA. That data is handled securely, subject to access controls, and never commingled with other customers' identifiable data.
What if we use our own AI provider account?
Canvas's zero data retention configuration and BAA coverage apply only to the AI model providers Canvas contracts with, so they don't extend to an AI model provider account your organization holds itself. Your organization is responsible for that provider's agreement, data handling, and HIPAA compliance.
Clinical use
Who is responsible for AI-generated content?
Your providers. AI output can be incomplete or inaccurate, so a provider must review and correct it before it becomes part of the medical record. AI supports clinical judgment and does not replace it.
Are Canvas AI agents FDA-cleared?
No. Canvas AI agents are support tools. They are not FDA-cleared medical devices, and are not intended for diagnosis or treatment.
